Choose the deployment you can maintain and recover—not just the one with the smallest software price.
Separate software from operations
An automation tool runs workflows, but someone must also run the system around it. That includes updates, availability, backups, credentials and recovery when something breaks. A managed service and a self-hosted installation assign those jobs differently.
n8n offers a managed Cloud option and a self-hosted Community edition, with other paid capabilities depending on the edition. Its documentation makes the operator responsible for infrastructure and maintenance when self-hosting.
Choose managed when your time belongs elsewhere
A managed service can be a useful starting point when there is no dedicated technical owner. Review the current service limits, supported integrations, data handling and export options. Managed hosting still leaves you responsible for workflow logic, appropriate data access and checking that outputs are correct.
Choose self-hosting only with a named owner
Self-hosting may suit a team with a clear infrastructure requirement and the skills to operate it. Free software does not mean free hosting or free maintenance. Include server costs, staff time and recovery work in the comparison.
Before moving a real business process, demonstrate that you can restore the system from a backup and recover the credentials and configuration it needs. A backup that has never been restored is an unverified recovery plan.
Ask these questions before choosing
- Who installs updates and how do they test them?
- Where are credentials stored, and who is allowed to use them?
- What is backed up, how often, and when was restoration last checked?
- Who notices a failed workflow or unavailable server?
- How will you export workflows or change providers?
- What are the total costs at your expected workload?
Pilot a low-stakes workflow
Compare the options using a small task with sample information and an easy manual fallback. Record what setup and maintenance actually required. Use that evidence to choose a deployment before placing an important process on it.
