A workflow is ready when you can explain how it handles a success, a repeat and a failure.
Draw a small, specific handoff
Start with one form submission becoming one spreadsheet record. Write down the destination columns and which form field belongs in each one. Decide which fields are required, what to do with missing data and who can access the sheet.
Use sample information first. A working demonstration does not establish that customer data, permissions and failure recovery are ready for everyday use.
Give each submission a stable identity
If the form service supplies a submission identifier, keep it with the destination record. Before adding a row, check whether that identifier has already been processed. This is a workflow design choice that you must implement; do not assume the automation service automatically prevents duplicate records.
Make documents HTTPS webhooks that usually start scenarios immediately. Its instant webhook executions run in parallel by default. Where the sequence matters, inspect its Process data in order option and test the behavior you need.
Make failures visible
Make's documentation says storage of incomplete executions is disabled by default. Enabling it can retain unfinished failed runs for investigation and recovery. That setting does not replace a person or alert process responsible for noticing problems.
If a request times out after a write, inspect the spreadsheet before rerunning it. An uncertain response can still leave a completed record behind.
Run three deliberate checks
- Success: submit one sample and inspect every destination field.
- Repeat: process the same identifier twice and confirm your chosen duplicate handling works.
- Failure: use a harmless test destination or invalid sample field and confirm you can find the failed run.
- Recovery: correct the problem and verify the final sheet before retrying.
- Ownership: name the person who checks failures and document how to stop the workflow.
Keep the first version boring
Add follow-up email, CRM updates or AI steps only after the basic handoff is reliable. Each additional service creates another permission, cost and failure point to understand. A smaller workflow is easier to inspect and repair.
